Enabling two-factor authentication

Two-factor authentication (2FA) adds a second step to your login: alongside your password, you enter a 6-digit code from an authenticator app on your phone. Even if someone gets your password, they can't sign in without that code.

We strongly recommend turning 2FA on. Hospitelligence connects directly to your venue's POS, gaming, rosters, bookings, and financial data — that's the kind of access you want behind two locks, not one. It takes about two minutes to set up.

Before you start

You'll need an authenticator app on your phone. We recommend Google Authenticator — it's free, simple, and available on both iOS and Android. Other apps like Microsoft Authenticator, Authy, or 1Password also work. If you don't have one yet, install it from your phone's app store before continuing.

Step-by-step

  1. In Hospitelligence, click your profile icon and go to Settings.

  2. Navigate to Profile Settings → Password & Security.

  3. Find Two-Factor Authentication and click Edit Information.

  4. Click Enable 2FA. A QR code and a secret key will appear on screen.

  5. Open your authenticator app on your phone.

  6. Scan the QR code with the app, or enter the secret key manually if you can't scan.

  7. Back in Hospitelligence, enter the current 6-digit code from your authenticator app to verify.

  8. Done. 2FA is now active on your account.

What changes after you enable 2FA

Once 2FA is active, every time you log in to Hospitelligence you'll be prompted to verify your account with the 6-digit code generated within your authenticator app. The whole login adds about 10 seconds.

You won't be asked for a code on every page or action — just at sign-in.

Common questions

I lost my phone or my authenticator app is gone.

Hospitelligence doesn't generate backup codes, and 2FA can't be disabled by your venue admin. If you've lost access to your authenticator app, contact Hospitelligence support and we'll help you recover access to your account.

My code isn't working.

The most common cause is your phone's clock being slightly out of sync. Authenticator codes are time-based, and even a 30-second drift can cause failures. Make sure automatic time-setting is on for your phone, then try again.

Can I use the same authenticator app for multiple accounts?

Yes. Authenticator apps hold many accounts side by side — your Hospitelligence entry will sit alongside whatever else you've set up.

Can I disable 2FA later?

You can, in the same place you turned it on. We'd rather you didn't, but it's your call.
